Report Writing

# Why school report forms take so long, and how to fix it

By [Rodgers Ondago](https://gredli.com/rodgersondago) · 7 min read

Ask any teacher what they dread most at the end of a term, and report forms are usually near
the top of the list. Not because the concept is difficult, but because the process of getting
from raw marks to a finished, printed report form is slow, repetitive and easy to get wrong.

This article looks at why that process takes so long in most schools, and what actually
changes when it is automated properly.

## What the manual process usually looks like

In many schools, report form generation still follows roughly the same steps it did years ago,
just with a spreadsheet instead of a ledger book.

1. Marks are collected from each subject teacher, often on paper or in separate spreadsheets.
2. Someone, usually the class teacher, consolidates all subjects into one master sheet per class.
3. Totals and averages are calculated, sometimes manually, sometimes with spreadsheet formulas that need to be checked.
4. Learners are ranked to determine their position in class.
5. Each learner's individual report form is filled in by hand or by copying data into a template, one learner at a time.
6. Comments are written for each learner.
7. Forms are printed, checked for errors, and reprinted where mistakes are found.

For a class of 40 learners across 8 subjects, this is not a quick task. It is common for
teachers to spend an entire weekend, or several evenings after school, just on this one job.
Multiply that across every class in the school, every term, and the scale of the problem
becomes clear.

## Where the time actually goes

It is worth being specific about where the hours disappear, because it is rarely the marking
itself that takes the longest.

### Consolidation

Bringing together marks from multiple subject teachers, often in different formats, is slow
and prone to transcription errors. A mark copied incorrectly from one sheet to another can
throw off a learner's entire average.

### Calculation and ranking

Totals, averages, grades and class positions all need to be calculated correctly. Spreadsheet
formulas help, but they need to be set up correctly for every subject and every class, and
checked when something looks wrong.

### Individual formatting

This is often the single biggest time cost. Filling in one template per learner, even with
a spreadsheet mail-merge, takes time to set up and time to check. A single formatting mistake
that repeats across every learner means starting over.

## What changes with automated report generation

Automated report generation does not remove the need for good marks or fair grading. What it
removes is the manual, repetitive work that happens after the marks are already known.

The marks are the hard part. Formatting them into a report should not be.

In Gredli, once marks are entered for an assessment, the report form for every learner in the
class is generated automatically. Totals, averages, grades and class positions are calculated
the moment marks are entered, not as a separate step afterward.

| Task | Manual process | With automated generation |
| --- | --- | --- |
| Consolidating subject marks | Copied manually from multiple sheets | Entered once, per subject, directly into the system |
| Calculating totals and averages | Manual or spreadsheet formulas, checked by hand | Calculated instantly and automatically |
| Ranking learners | Sorted manually after totals are confirmed | Generated automatically as a merit list |
| Formatting individual reports | One at a time, or mail-merge setup per template | Generated for the whole class at once |
| Fixing an error | Often requires reprinting several forms | Correct the mark, the report updates automatically |

## Why this matters beyond saving time

Time saved is the obvious benefit, but it is not the only one. Manual processes introduce
errors that automated ones do not. A transcription mistake, a formula that was not copied
correctly to a new row, a rank that was not updated after a late correction, these things
happen when humans move numbers between systems by hand.

When report generation is automated, the report always reflects the actual marks entered.
There is no gap between the source data and the final document where errors can creep in.

## What this frees teachers to do instead

The hours saved on formatting and consolidation are hours that go back to what actually
matters: writing meaningful comments for learners, preparing for the next term, or simply
resting. Teachers did not become teachers to spend their weekends formatting spreadsheets.

Report forms will always need to exist. What does not need to exist is the hours of manual
work between a completed assessment and a finished report. That is the part that automation
is meant to remove.
