# Merit lists: how to generate one that actually helps teachers

By [Rodgers Ondago](https://gredli.com/rodgersondago) · 6 min read

A merit list sounds simple: rank learners from highest to lowest based on their marks. In
practice, generating one accurately, and generating it quickly, is harder than it sounds.
This article looks at what a merit list is actually for, what commonly goes wrong when it is
done manually, and how automated generation solves it.

## What a merit list is actually for

A merit list is more than a leaderboard. Done well, it gives teachers, school administrators
and parents a clear, comparable view of how each learner performed relative to their
classmates in a specific assessment.

A useful merit list typically includes:

- Each learner's total marks across all subjects in the assessment
- Their position or rank in the class
- Their overall grade, based on the school's grading scale
- Sometimes, a summary of performance by subject

This information helps teachers spot which learners may need extra support, helps
administrators track class and school performance over time, and gives parents a clear
picture of where their child stands.

## Why manual ranking causes problems

Ranking a class by hand sounds straightforward until you actually try to do it for a class
of 40 or more learners across 8 or more subjects.

### Ties are hard to handle consistently

When two learners have the same total marks, how should they be ranked? Different teachers
often handle this differently, sometimes even within the same school, which makes merit lists
inconsistent from one class to another.

### Recalculating after a correction

If a mark is corrected after the initial ranking was done, the entire list often needs to be
redone from scratch. In a manual process, this means re-sorting the whole class again, which
is easy to get wrong under time pressure.

### Cross-checking totals

Before a merit list can be trusted, someone usually needs to double-check that the totals used
to rank learners are actually correct. This is an extra verification step on top of an already
long process.

A merit list is only useful if it can be trusted. A list with even one ranking error undermines that trust.

## How automated merit list generation works

In Gredli, the merit list is generated directly from the marks already entered for an
assessment. There is no separate step of manually sorting or calculating totals.

1. Marks are entered for each learner across each subject in the assessment.
2. The system calculates each learner's total and average automatically as marks are entered.
3. Once the assessment is published, the merit list is generated instantly, ranked by total marks.
4. Ties are handled consistently using the same rule every time, so results are predictable across every class.
5. If a mark is corrected, the merit list updates automatically to reflect the change.

**Note:** Generating merit lists and report forms is part of Gredli's free tier.
Every school can access this feature at no cost, whether or not they use any paid features.

## What this means for teachers day to day

The practical effect is that a merit list which used to take an hour or more of manual sorting
and cross-checking is available the moment an assessment is published. If a correction is
needed after publishing, the teacher does not need to redo any manual work. They correct the
mark, and the merit list reflects it automatically.

This also means merit lists are consistent across every class and every term. The same rules
apply every time, which removes the small inconsistencies that creep in when different
teachers handle ranking slightly differently by hand.

## Beyond the class merit list

A single class merit list is useful, but school administrators often need a broader view,
comparing performance across classes within the same level, or tracking how a class performs
across different assessments over the term. This kind of class-wide analysis is available as
part of Gredli's paid features, building on the same underlying data used for the free merit
list and report form generation.

## The takeaway

A merit list should be a tool that helps teachers and schools understand performance quickly
and reliably. It should not be another manual task competing for a teacher's limited time.
When ranking is automated directly from the marks that are already being entered, it becomes
what it was always meant to be: a fast, accurate summary that is ready the moment it is
needed.
